YourLifeFile (Pty) Ltd | Registration Number: 2026/072254/07
Effective date: 27 July 2026 | Last updated: 4 September 2026 | Document type: General Disclaimer | Legal framework: South African law, including POPIA and applicable consumer-protection law and, where applicable, the EU GDPR and UK GDPR | Sections: 32
Important: YourLifeFile is an information organisation, document storage and reference platform. It does not provide professional advice, independent verification, certification, estate administration or guaranteed outcomes.
1. Introduction
1.1 YourLifeFile is a digital platform designed to help users organise, record and store important personal information, supporting documents and reference details in a structured Life File. The Platform is intended to make important information easier to locate and understand during the Member’s lifetime, during illness or incapacity, and after death.
1.2 YourLifeFile is an information organisation, document storage and reference platform only. It does not provide professional advice, independent verification, certification, document validation, estate administration or decision-making services.
1.3 This Disclaimer must be read together with the YourLifeFile Terms and Conditions; Privacy Policy; POPIA Notice / POPIA Consent; Access Request Declaration; Cookie Policy or cookie notice, where applicable; and any other legal notices or policies displayed on the Platform. The processing of Personal Information is governed by the Privacy Policy and POPIA Notice and, where applicable, the EU GDPR and UK GDPR.
2. Information Repository and Reference Tool Only
2.1 YourLifeFile provides a structured way to record information and upload supporting documents. The presence of information or a document in a Life File does not mean it has been independently verified, is accurate, complete, current or legally valid, has been accepted by any bank, insurer, medical scheme or authority, creates any legal right or obligation, confirms that a policy, account or arrangement remains active, or will produce any particular outcome.
2.2 YourLifeFile does not investigate, audit or confirm the existence, value, status or enforceability of information recorded by a Member.
3. No Financial, Legal, Medical, Tax or Estate-Planning Advice
3.1 Nothing recorded, uploaded, displayed or communicated through the Platform is financial, investment, insurance, legal, tax, medical, estate-planning, fiduciary, accounting or any other professional advice.
- YourLifeFile does not assess whether a Member’s insurance cover is sufficient;
- investments are appropriate;
- Will is valid;
- estate plan is suitable;
- tax affairs are correctly structured;
- medical information is complete;
- beneficiary nominations are correct;
- liabilities are adequately covered;
- or financial arrangements meet the Member’s needs..
3.3 Members and other users should obtain advice from appropriately qualified professionals before making financial, legal, medical, insurance, tax, estate or other important decisions.
4. No Professional or Fiduciary Relationship
4.1 Using the Platform does not create any adviser-client, attorney-client, doctor-patient, tax practitioner, insurance intermediary, fiduciary, executor, trustee, agency or similar professional relationship.
4.2 YourLifeFile does not act as a Member’s executor, trustee, adviser, curator, guardian, attorney, medical practitioner, accountant or estate administrator.
5. User Responsibility
5.1 Members are solely responsible for the information they enter and the documents they upload, including the lawfulness, accuracy and completeness of their Life File:
- keeping it current;
- removing outdated or incorrect information;
- updating Trusted Person details;
- keeping secure copies and originals of important documents;
- obtaining professional advice;
- and ensuring that information about third parties is provided lawfully..
5.2 Reminders, prompts and educational explanations provided through the Platform are convenience tools only and do not transfer responsibility from the Member to YourLifeFile.
6. Accuracy and Completeness of Information
6.1 Information in a Life File is supplied by the Member or another person in an authorised process. YourLifeFile does not ordinarily verify whether a policy remains in force, premiums are paid, a beneficiary nomination is valid, an account remains open, an investment still exists, a balance is correct, a medical scheme or adviser remains active or appointed, a document is genuine, current or properly signed, a Will meets legal formalities, or the recorded location of an original remains correct.
6.2 The fact that information appears in a Life File must not be interpreted as confirmation that the information is factually correct or legally effective.
7. No Guarantee That Recorded Arrangements Still Exist
7.1 A Member may record details of a policy, investment, account, liability, Will, medical arrangement or other matter that later changes, expires, lapses, closes, is cancelled or becomes invalid.
7.2 For example, recording a life insurance policy does not confirm that the policy remains active:
- all premiums have been paid;
- the sum assured is unchanged;
- the beneficiary nomination is current;
- all policy conditions have been met;
- or a future claim will be accepted..
7.3 Similarly, recording or uploading a Will does not confirm that it is the Member’s latest Will:
- it was properly signed or witnessed;
- the original document exists;
- the original can be located;
- it has not been revoked;
- or it will be accepted as legally valid..
7.4 Users must verify important arrangements directly with the relevant institution or professional.
8. Original Documents
8.1 YourLifeFile allows users to upload copies of documents but is not a certified document vault, deeds office, Will repository or official record-keeping authority. Uploading a copy does not replace an original document where an original is legally or operationally required.
- Members should keep original documents securely;
- record where originals are stored;
- tell an appropriate person where originals can be found;
- retain separate backup copies;
- and obtain professional advice about document execution and storage..
8.3 YourLifeFile accepts no responsibility for the destruction, loss, invalidity or unavailability of an original document that is not under YourLifeFile’s control.
9. Sensitive Access Information
9.1 Members must not upload or store passwords, PINs, one-time passwords, security-question answers, online banking or card details, authentication codes, or cryptocurrency keys or seed phrases, or any similar information that could let another person access or transact on an external account.
9.2 YourLifeFile does not require this information. If a Member disregards this warning and stores prohibited access information, the Member does so contrary to the Platform rules and at their own risk. YourLifeFile may remove, restrict or quarantine information that appears to contain prohibited credentials.
10. Trial Membership Disclaimer
10.1 A Trial Membership allows an eligible person to explore and use the Platform for a limited period. Trial access does not provide professional advice:
- does not change the Member’s responsibilities;
- does not guarantee continued access after the trial expires;
- does not create an obligation on YourLifeFile to preserve information indefinitely;
- does not guarantee that the Member will complete the Life File;
- and remains subject to the Terms and Conditions and other Platform rules..
10.2 When the Trial Membership expires, access may be suspended until the person purchases an Annual Membership.
11. Trusted Persons
11.1 A Member may nominate one or more Trusted Persons through the Platform. Nomination as a Trusted Person does not provide immediate access to a Life File:
- appoint the person as executor;
- create a power of attorney;
- appoint the person as guardian, curator, trustee or agent;
- make the person a beneficiary;
- override a Will or other legal document;
- authorise the person to transact on any account;
- or guarantee that a future Access Request will be approved..
11.2 The Member is responsible for selecting appropriate Trusted Persons, providing correct contact information and updating nominations when circumstances change.
12. Access Request Disclaimer
12.1 Access to a Life File is subject to the verification, review and approval process described in the Terms and Conditions and the Access Request Declaration. Submitting an Access Request does not create an automatic right of access.
- YourLifeFile may rely on identity documents;
- death certificates;
- medical evidence;
- Letters of Executorship;
- court documents;
- affidavits;
- information provided by Trusted Persons;
- information provided by family members or representatives;
- and other supporting documentation..
12.3 Although reasonable verification procedures may be followed, YourLifeFile cannot guarantee that every document, declaration or representation supplied is authentic, complete or free from fraud or error. YourLifeFile may approve, limit, delay or reject an Access Request.
13. No Guarantee of Immediate or Successful Access
- YourLifeFile does not guarantee that the Platform will be available exactly when needed;
- that a Trusted Person will submit an Access Request or have the required documents;
- that verification will be completed in any particular time;
- that an Access Request will be approved;
- that all Life File information will be disclosed or still current;
- that an external institution will accept it;
- or that the Life File contains every document or detail required..
13.2 The Platform is not intended to replace direct communication with family members, executors, advisers, attorneys, healthcare providers or emergency contacts.
14. Use of Information by Trusted Persons and Third Parties
14.1 A Trusted Person or other approved requestor who receives access to information is responsible for how that information is used after disclosure. YourLifeFile does not control decisions made by the requestor:
- whether the requestor acts on the information;
- whether the requestor shares information with another person;
- whether the requestor interprets information correctly;
- whether an executor or institution accepts the information;
- or the consequences of a third party’s conduct..
14.2 Approved access does not provide the requestor with legal authority beyond the information-access permission granted through the Platform. A Trusted Person or requestor who receives Personal Information relating to the Member or a third party is responsible for processing it lawfully and, where the GDPR or UK GDPR applies to that person, in accordance with those laws.
15. Incapacity and Medical Information
15.1 YourLifeFile is not a medical record system, healthcare provider or emergency-response service. Information recorded about illness, disability, incapacity, medication, medical aid or healthcare providers may be incomplete or outdated:
- is not reviewed by YourLifeFile for medical accuracy;
- does not replace a doctor’s records;
- does not replace emergency medical identification;
- does not constitute medical advice;
- and must not be relied upon as the sole source of information in an emergency..
15.2 In an emergency, users must contact the appropriate emergency service or healthcare provider directly.
16. Estate Administration Disclaimer
16.1 YourLifeFile is not an executor, estate administrator, trustee or fiduciary. The Platform does not report an estate to the Master of the High Court:
- appoint an executor;
- validate a Will;
- identify all estate assets and liabilities;
- determine estate duty;
- pay estate creditors;
- distribute estate assets;
- resolve beneficiary disputes;
- or complete the administration of a deceased estate..
16.2 Information obtained through the Platform may assist an executor or family member, but formal estate-administration procedures remain the responsibility of the executor and relevant professionals.
17. Deceased Member Wallet Disclaimer
17.1 A Wallet balance remaining after a Member’s death is subject to the estate-payment process contained in the Terms and Conditions. YourLifeFile does not guarantee that the Wallet balance is immediately payable:
- all recorded credits are valid;
- the requestor has the required estate authority;
- the estate banking details will be verified;
- the required documents will be accepted;
- payment will be processed within a specific period;
- or a payment request will be approved..
17.2 Any estate payment remains subject to verification, lawful authority, estate banking confirmation, reversal of invalid credits and Administrator approval. YourLifeFile does not pay the Wallet balance directly to a family member, Trusted Person or beneficiary merely because that person obtained access to the Life File.
18. Referral Programme Disclaimer
18.1 The referral programme allows qualifying Members to earn Referral Rewards in accordance with the Terms and Conditions. Referral Rewards are not guaranteed income:
- an investment return;
- a salary;
- interest;
- a deposit;
- a pension benefit;
- or a guaranteed means of paying future Membership Fees..
18.2 Any illustration stating that referrals may effectively cover a Member’s annual Membership Fee is an example only. The actual outcome depends on factors including the number of qualifying referrals:
- successful Membership payments;
- annual renewals;
- the Membership Fee;
- the Referral Reward percentage;
- payment reversals and refunds;
- the Member remaining eligible;
- and the referral programme continuing to operate..
19. Wallet Disclaimer
- The YourLifeFile Wallet is an internal Platform record. It is not a bank account;
- a savings account;
- an investment account;
- a deposit account;
- an electronic-money account;
- a credit facility;
- or a payment account operated independently from the Platform..
- Wallet credits do not earn interest;
- may be subject to verification;
- may be reversed where a payment is refunded, disputed, fraudulent or invalid;
- may be used only in accordance with the Terms and Conditions;
- and do not guarantee that a withdrawal request will be approved..
20. Payment Service Disclaimer
20.1 Online payments may be processed through iKhokha or another payment service provider approved by YourLifeFile. Payment processing, card authentication, Instant EFT, digital-payment functionality, transaction approval, settlement, reversals and refunds may depend on third-party systems.
- YourLifeFile does not control and cannot guarantee payment-provider availability;
- bank-system availability;
- transaction approval;
- authentication success;
- settlement timing;
- refund-processing periods;
- financial-institution decisions;
- or the availability of a particular payment method..
20.3 YourLifeFile does not ordinarily store full payment-card details. Third-party payment services may be subject to their own terms, fees and privacy policies.

- and other external services..
21.2 YourLifeFile does not control and is not responsible for the availability of an external service:
- the accuracy of third-party information;
- changes to external links;
- third-party security;
- third-party privacy practices;
- third-party fees;
- third-party service decisions;
- or loss caused by reliance on an external service..
21.3 Users should review the terms and privacy policies of third-party services.
22. Personal Messages and External Media
22.1 A Member may upload a personal message or store a link to external audio or video content. YourLifeFile does not guarantee that the external link will remain active:
- sharing permissions will remain correct;
- the content will remain hosted;
- the intended recipient will be able to access it;
- the content will remain compatible with future software;
- or the external provider will continue operating..
22.2 Members should keep alternative copies of important audio, video and written messages.
23. Unsupported Countries and Foreign Documentation
23.1 YourLifeFile is primarily designed for South African users and South African legal, identity, privacy and estate processes. Other countries may use different identity documents:

- or all foreign legal requirements have been identified or implemented..
23.3 YourLifeFile may require additional documents, delay a request, seek legal guidance or decline a request that cannot reasonably or lawfully be verified.
24. Platform Availability
24.1 YourLifeFile aims to make the Platform reasonably available but does not guarantee uninterrupted, continuous, immediate or error-free service. The Platform may be unavailable because of scheduled maintenance:
- emergency maintenance;

- hosting failures;
- internet or telecommunications failures;
- power interruptions;
- cybersecurity incidents;

25. Security Disclaimer
25.1 YourLifeFile takes reasonable and appropriate technical and organisational measures intended to protect Personal Information and uploaded documents, as further described in the Privacy Policy. However, no electronic platform, database, communication channel, cloud service or security system can be guaranteed to be completely secure.

Where a security compromise or personal data breach occurs, YourLifeFile will respond in accordance with the Privacy Policy and applicable law, including POPIA and, where applicable, the GDPR and UK GDPR.
25.3 Members remain responsible for protecting their passwords, email accounts, devices and authentication information.
26. Data Retention and Deletion
26.1 Life Files may be archived, retained and deleted in accordance with the Terms and Conditions and Privacy Policy. YourLifeFile does not guarantee indefinite retention of a Life File.
26.2 A Life File may become unavailable or be permanently deleted where a Membership has expired:
- the retention period has ended;
- the Member instructs the creation of a new Life File instead of restoring the old one;
- the Account is terminated;
- deletion is requested and legally permitted;
- retention is no longer necessary;
- or another lawful deletion reason applies..
26.3 Once permanent deletion has been approved and completed, the information cannot ordinarily be restored.
